Minutes of Meeting – Tuesday, September 14, 2021

Present: Randy Deffett (Chair), Ken Scullion,Tim Daciuk, Dianne Renwick, Ila Vaculik, Bob Watson, David Fuller, Vandra Masemann (Minutes)

Order of Business:
1. Call to Order — at 7:10 pm
2. Approval of the Agenda — Discussion of the upcoming AGM was added to the agenda in Item 12 (Ken Scullion, Vandra Masemann — carried).
3. Approval of the Minutes of July 13, 2021 meeting (Ken Scullion, Vandra Masemann — carried).
4. Matters arising from the Minutes
- Cenotaph — David Fuller noted that he would contact Greg McKinnon at the TDSB as the schools were now open.
- Projects Update — covered in Agenda.
5. Announcements — Vandra reported on the success of the GoFundMe campaign for accessibility renovations to the house of the Malvern teacher, Karyn Bugelli, who now uses a wheelchair as a result of a spinal operation. MRBS members were invited to participate and a number donated generously. Subsequent publicity in the press and on TV focussed attention on the efforts to make Malvern a more accessible school. Randy reported that RH King’s 100th anniversary is in 2022.

7. Communications Reports
- Vandra Masemann — mail — bank statements for the OMF only.
- Bob Watson — email — (60s) Brett Slade offered to donate an LP record to the Archives. (Red and black) Ingrid Bubersky offered to volunteer for the MRBS. There were no new CanadaHelps contributions.
- Dianne Chadwick — database — has been working with Donna Halliday on entering changes to the database. Randy noted Paul Warner’s idea to have a separate list of deceased Malvernites put on our website. Randy moved a motion seconded by David Fuller that a project be undertaken to to create from the Master Database an In Memoriam list of deceased Malvernites for the website. Carried.
- David Fuller — website — several updates are being made to the website in conjunction with Paul Warner. There will be new wording for becoming a member, the Minutes for June and July will be posted, (check the Minutes for 2020), and the names of the Members at Large will be updated. When asked if we needed a stat counter, David replied that we can track our stats with Google Analytics. David recommended a WordPress template to make our website responsive. Randy wanted to have the Privacy Policy and Rules of Conduct moved to a less prominent place in our FaceBook Group and FB Page.’David asked Decade Reps and Officers to send their passwords for their webmail. We also need the bios of members. Vandra noted that the Decade pages need to be revamped.
- Sandra Burk / Vandra Masemann — Facebook — It was moved to put a request on Facebook asking for more Decade Coordinators to volunteer (Vandra Masemann, Randy Deffett — carried).
8. Treasurer’s Report — Bob Watson — current bank balance is $1075.57, with a book balance of $975.57. The cheque for the $100 MRBS Award to Fabienne de Cartier has not been cashed. Vandra is to contact the school office about this and report back.
All Communications Reports were approved (Bob Watson, Ken Scullion).
9. Archives Committee Report — Vandra Masemann — Donna has been working on the Master Database and updating the entries. With Irene, she has also been working on the vertical files. Erik Malmsten and Donna have been working on updating the Wikipedia entry for Malvern CI. Motion by Vandra Masemann and Ken Scullion to approve the report was carried.
10. OMF — Ken Scullion — he reported no change to the problems raised in the last meeting.
11. Projects
- Reunion proposal progress report — Rod had advised that it was not possible to hold the Reunion in 2022.
- Charter updates – Randy Deffett and David Fuller moved acceptance of the updated Charter material (draft 9) — carried. It can now be posted on our website.
- Website updates — see also Item 7 above
- Vintage rugby shirts update — Vandra reported our FB survey indicated strong support for selling three items on line: Malvern rugby shirt, men and women;’s hoodie, and baseball cap. David noted that we can set up a FB shop to support the retail sale of these items. A motion was proposed approving the idea in principle, with details on prices, ordering, and distribution (shirt price, crest, packing and mailing). Moved by Ken Scullion, seconded by Randy Deffett – carried.
- Randy reported on updates for the website, decade co-ordinator mailbox access, new website banner, and progress on miscellaneous updates.
- Creation of a Fund-raising Committee — to be discussed by Ken Scullion and Randy Deffett.
12. Other/New Business — Upcoming Annual General Meeting — it will be the first Saturday in November on Zoom from 1:00 to 3:00 pm on Zoom. There will also be a Call for Nominations and Elections. Randy has another year as Vice-President. Does the OMF want to do a presentation at the AGM? Notices will be sent out by email, snail mail to the previous supporters, and posted on Facebook and on the MRBS website.
